20 Steps to Planning the Perfect Event

  1. Select members of the Event Planning Committee to determine the purpose of the event and a potential agenda with definite timelines and responsibility designations
  2.  

  3. Develop a budget
  4.  

  5. Select your ideal date and time with a couple of alternate dates
  6.  

  7. Estimate the number of guests/attendees
  8.  

  9. Call the Edmonds Conference Center at 425.640.1808 to arrange a tour
  10.  

  11. Tour our beautiful facility and discuss your event needs and vision with one of our experienced Client Services Representatives
  12.  

  13. Confirm your date and time with the Edmonds Conference Center
  14.  

  15. Contact/confirm speakers and/or workshop leaders if needed
  16.  

  17. Develop, design, and send invitations/marketing to guests/attendees
  18.  

  19. Identify volunteers and their responsibilities
  20.  

  21. If needed, select a caterer and discuss menu—see Caterers on this website for a listing of Recommended Caterers
  22.  

  23. Obtain a banquet permit if necessary
  24.  

  25. Three weeks prior to your event, meet with an Edmonds Conference Center Client Services Representative to discuss the details of your event such as room set-up, linens, VIP Beverage Service, audio-visual needs, etc.
  26.  

  27. Finalize details with all vendors, service providers, speakers, volunteers and planning committee members
  28.  

  29. Assemble giveaways if needed and all other event supplies
  30.  

  31. Arrive at Edmonds Conference Center at your contracted time for final preparation
  32.  

  33. Enjoy a sucessful event
  34.  

  35. Conduct post-event evaluation to be analyzed by Planning Committee
  36.  

  37. Pay all vendors and other event costs; send “thank you” notes as needed
  38.  

  39. Prepare event final report including budget reconciliation and notes for next event
